Missed-Call Revenue & AI Receptionist ROI Calculator

Multiply monthly calls by the share you miss, the share that are genuine prospects, your close rate and average job value to estimate gross revenue at risk. Explore three recovery scenarios with editable assumptions. The optional setup comparison measures gross revenue, before job costs and recurring service fees; it is not net savings or a payback forecast.

What this tool calculates

It estimates missed calls, potential leads, jobs and gross revenue at risk. It compares hypothetical recovered revenue with an optional setup cost. Job costs, monthly service fees, extra usage and maintenance are not deducted, so this comparison does not calculate net savings or financial break-even.

The formula (and your assumptions)

Missed calls/month = calls × % missed. Qualified leads = missed calls × % genuine prospects. Jobs lost = qualified leads × close rate. Revenue at risk = jobs lost × average job value. Recovered revenue = revenue at risk × the share of calls you think an AI receptionist could recover. We show that at three visible rates — conservative, likely and optimistic — rather than baking in an exaggerated number.

  • Every input is yours — we don't hide inflated defaults inside the math.
  • Conservative / likely / optimistic scenarios flex the recovery rate you set.
  • Setup revenue comparison = setup cost ÷ average job value; this excludes job costs and all recurring service fees.
  • Results are estimates to guide a decision, not guaranteed outcomes.

Worked example

A plumbing shop takes ~50 calls a week and misses 20% of them. About 70% are genuine prospects and they close 40% at an average job value of $1,200. That's roughly 43 missed calls a month, 30 qualified leads and 12 lost jobs — about $14,500 in revenue at risk every month. In this hypothetical, recovering even a conservative share would bring in more gross revenue than an AI phone receptionist at $750 setup + $179/month CAD costs — before job costs, which the calculator does not deduct.

How to use it

  1. 1Enter your call volume and the percentage you miss.
  2. 2Set what share are genuine prospects, your close rate and average job value.
  3. 3Set how much of those calls you think could be recovered.
  4. 4Optionally add a setup cost to compare against hypothetical gross revenue.
  5. 5Read your revenue at risk and conservative-to-optimistic recovery.

Key takeaways

  • Missed calls are usually a bigger leak than contractors think.
  • The math is only as strong as your inputs — keep them honest.
  • Deduct job costs, monthly fees and extra usage before deciding whether the service pays for itself.

Assumptions & limitations

  • These are planning estimates based on the numbers you enter — not a promise of recovered revenue.
  • Not every missed call is a lost job; that's why you set a 'genuine prospect' and 'recoverable' rate.
  • Recovery rates are shown as editable scenarios so you can be as cautious as you like.

Questions contractors ask

How much revenue do missed calls actually cost?

It depends entirely on your call volume, close rate and job value — which is why this tool asks for your numbers instead of quoting a scary industry figure. Enter your own and see a range you can trust.

What is a realistic call recovery rate for an AI receptionist?

Rather than assume one, the tool lets you set a recoverable rate and shows conservative, likely and optimistic scenarios around it, so the estimate reflects your caution, not ours.

Is an AI receptionist worth it for a contractor?

Compare the profit from genuinely additional jobs with setup, monthly fees and extra usage. This tool estimates gross revenue only; it does not deduct those costs or prove that a receptionist will pay for itself.

Does this store my numbers?

No. Everything is calculated in your browser. Nothing you enter is uploaded or saved unless you choose to contact us through the separate form.
